Job Description:
Administrative Tasks (80%):
· Serve as the main point of contact for correspondence, phone calls, and liaising with staff, suppliers, and clients.
· Manage databases, filing systems, and administrative procedures.
· Research and negotiate with suppliers, prepare payments, and manage purchase orders, invoicing, and expense claims.
· Maintain stock lists and order office supplies as needed.
· Assist in preparing and organizing documents, reports, presentations, meeting agendas, and notes.
· Support event planning and logistics, including catering arrangements.
· Oversee office operations such as equipment maintenance, corporate reporting, record-keeping, and handling special deliveries.
· Provide general administrative support to ensure smooth day-to-day operations of the office.
Operations tasks – related to pet relocation (20%):
· Collect and verify client documents and details and make sure they comply with requirements from airlines and handling agents.
· Handle any unforeseen situations during the relocation execution
· Build good connections with government departments, and facilitate the process of applying for and issuing of documents related to import and export in a timely manner.
· Arrange transportation to and from vet hospital, government office, client residence, as well as other locations when needed.
· Support the Head of Department on various tasks outside your main job scoop when asked to.
Job Requirements:
· Bachelor’s degree in logistic, import & export, tourism, business, admin or related field.
· Open to freshers or candidates with internship experience
· Understanding of the process and paperwork, good at customer service.
· Proficient in both written and verbal communication in Vietnamese and English
· Exceptional self-learning ability, meticulousness, and proactivity in work.
