Key Roles and Responsibilities
• Serve visitors by greeting, welcoming, directing, and announcing them appropriately.
• Perform receptionist tasks, including answering and directing calls, managing meeting room bookings, and ensuring the reception area is organized, presentable, and well-stocked with necessary supplies.
• Handle incoming and outgoing mail and courier services efficiently.
• Manage and assist with day-to-day general office administration, operations, and coordination.
• Replenish snacks daily, monitor supply levels, reorder when appropriate, and update purchase records.
• Distribute stationery to new joiners and maintain stock inventory.
• Assist in online sourcing for office purchases, including compiling quotations.
• Assist with office asset labeling and tagging.
• Collaborate with team members on Wednesday tea break planning and arrangements.
• Provide administrative and secretarial support, including Vietnamese/English translation, logistics arrangement for business trips, and organizing Company/department events.
• Manage office premises, including utilities, broadband, meeting rooms, and vendor management.
• Manage office supplies such as stationery, furniture, and pantry items.
• Prepare workstations and supplies for new hires.
• Manage rental plants to ensure they are in good condition.
• Update the internal contact list as needed.
• Assist in establishing a standardized administrative management system and optimizing work processes.
• Coordinate events, including agenda development, venue reservation, preparation, and distribution of supporting materials.
• Undertake special assignments and ad-hoc tasks assigned by management.
• Minimum Bachelor’s Degree in any field, with at least 1 year of relevant experience in administration.
• Well presented. Good interpersonal skills and proficient in English and Vietnamese (both written and oral) for communication with expatriates and external guests.
• Demonstrate ability to manage complex schedules, requests, and environments, with a high degree of multi-tasking and time management capability.
