    PURPOSE OF POSITION

    The Training Coordinator provides secretarial and administrative services to the HR/Training Department and the hotel, in line with Lotte Hotel Hanoi standards.

    MAIN ROLES

    Training Administration

    • Maintain accurate records of training attendance and completion, ensure all employee training records are up-to-date
    • Manage and maintain in-house training facilities and equipment
    • Prepare all necessary files, reports, correspondence and other relevant business documentation before, during and after all classes
    • Assist trainers in setting up training sessions and ensuring a smooth and effective learning experience
    • Handle logistics for training activities including venues and equipment
    • Order supplies for training and training department as needed
    • Manage class gift inventory
    • Manage the administration of staff tests for new hires
    • Training allowance
    • Manage training budgets and track expenses, prepare monthly training expense report
    • Prepare training & learning hour report
    • Support departments to help operations staff improve their English skills


    Internal Communications & Events

    • Support the development and implementation of internal communication plans to ensure employees are well-informed about company news, initiatives, and policies
    • Create engaging content for various communication channels, including employee social media platforms, signage, newsletters, email announcements, etc.
    • Plan and execute a variety of employee events, including employee appreciation events, recognition ceremonies, team-building activities, gatherings
    • Manage event logistics, including budgeting, venue selection, department coordination, entertainment, and attendee registration
    • Ensure events are well-organized, engaging, and memorable for all attendees


    Onboarding and Trainee Management

    • Manage the onboarding process for trainees, including conducting orientation sessions, providing necessary training materials, and ensuring a smooth transition into the hotel environment
    • Work closely with department heads to ensure trainees are placed in the appropriate departments for their skills and interests
    • Oversee the trainee journey, including monitoring their progress, providing support and guidance
    • Administer trainee tests to assess their knowledge and skills
    • Coordinate trainee graduation ceremonies
    • Lead and coordinate the STAR Trainee Award program, including promoting the award, managing nominations, selecting winners, and organizing the award ceremony

    Other tasks

    • Conduct hotel tours
    • Service Monitoring
    • Oversee monthly STARS Motto Champion project
    • Spot check staff lockers and manage overall daily locker issues
    • Prepare Global HR report & HODs Meeting report
    • Maintain confidentiality at all times on all matters
    • Demonstrate essential overall knowledge of the organization
    • Understand the responsibilities of other units and departments and co-operate with them

    SUPPORTIVE ROLES

    • Maintain a close, cooperative relationship with other departments to guarantee effective communication.
    • Implement and coordinate cooperation as a supporting department for business operation.
    • Ensure smooth work cooperation among departments and always provide support not to cause any interruptions in business operation.

    QUALIFICATIONS


    • Education: Diploma in Human Resources, Training or Business Administration.
    • Experience: 1 years of relevant experience or an equivalent combination of education and work-related experience.


    SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES

    • Communication skills are utilized a significant amount of time when interacting with others; demonstrated ability to interact with customers, employees and third parties that reflects highly on the hotel, the brand and the Company.
    • Proficient in the use of Microsoft Office
    • Knowledge of Windows, Power Point, Word and Excel, basic Photoshop, Proshow Gold or similar programs required
    • Good writing skills
    • Working experience in event organization, plan and execution
