Reports To Site Manager/HR Manager
Synopsis Of Duties
Site HR & Admin is responsible for handling human resources and administrative activities at the project site, while ensuring compliance with Client/Owner requirements and local labor laws. This role also supports vendor/subcontractor documentation, compliance audits, and evaluation processes. The position acts as the key point of contact between the site team, subcontractors, and the Client regarding HR, compliance, and administrative matters.
Core Duties & Human Resources
• Coordinate recruitment and onboarding of site-based staff and workers.
• Maintain employee records, contracts, certifications, and site access permits.
• Ensure compliance with labor laws, company HR policies, and Client requirements.
Compliance & Client Requirements
• Prepare and submit workforce data, compliance reports, and documentation as required by the Client/Owner.
• Ensure all employees and subcontractor staff meet site compliance standards (licenses, safety training, insurance).
• Support internal/external audits by maintaining accurate HR and compliance documentation.
Vendor & Subcontractor Administration
• Collect, verify, and update legal documents, insurances, and certifications of subcontractors and suppliers.
• Assist in pre-qualification, compliance checks, and evaluation of subcontractors.
• Coordinate with Procurement and Project teams to ensure vendor compliance with project standards.
Administrative Support
• Maintain organized records and documentation in accordance with ISO and Client audit requirements.
• Prepare reports and updates for Project Management and Client representatives.
• Provide administrative support to project operations, including coordination between HR, HSE, QA/QC, and Procurement teams.
Qualifications & Job Requirements
• Bachelor’s degree in Human Resources, Business Administration, Law, or related field.
• 3–5 years of experience in HR and/or project administration, preferably in construction or industrial projects.
• Familiarity with compliance, audit processes, or subcontractor/vendor management is an advantage.
• Knowledge of labor laws, compliance standards, and vendor qualification processes.
• Proficiency in MS Office (Word, Excel, PowerPoint) and document control systems.
• Ability to prepare compliance reports and maintain accurate documentation.
• Good command of English (written and spoken).
