We are seeking a dynamic Senior Manager/Associate Director of Operations to lead our supporting teams, including Finance, Procurement, HR, Legal, Office Admin, and Reconciliation. As the Director of Back Office Operations, you will be responsible for ensuring that all teams work seamlessly together to achieve our company's goals and objectives. Your duties will cover strategic planning, goal-setting, policy implementation, and coordination of operations, as well as resource allocation, performance evaluation, issue resolution, and timely reporting. Your leadership and management skills will be key in this role as you report directly to the VP of Operations.
Responsibilities

- Supervise the day-to-day activities of the Finance, Procurement, HR, Legal, Office Admin, and Reconciliation teams and ensure that all teams follow established policies and procedures and meet performance targets
- Ensure the collaboration and communication between all back-office teams and that they are working together effectively to meet company goals and objectives and also to identify opportunities for process improvement and resolve issues
- Develop and implement policies and procedures to ensure compliance with all regulatory requirements, together with ensuring that all teams are trained on these policies and procedures and are following them consistently
- Provide guidance and support to team members to ensure their maximum efficiency. Conduct regular performance reviews and provide feedback to team members to help them achieve their goals
- Develop and maintain relationships with internal and external stakeholders by working closely with other departments to ensure that all back-office operations are aligned with the company's mission, vision, and values
- Recruit and train personnel as well as allocate responsibilities and office space
- Resolve issues that may arise in a timely manner

- Education: A bachelor's or master's degree in business administration, management, or a related field
- English language proficiency: As a non-native speaker, a strong command of the English language is essential. A minimum score of 7.0 on the IELTS exam is required
- Experience: Must have at least 10 years of experience in back-office operations management, including leadership and management experience. Experience in managing multiple teams in an Organisation sized at around 300 employees
- Demonstrated strong leadership skills, with the ability to manage team performance, delegate tasks effectively, provide guidance and direction, and promote a positive work culture
- Being a person of integrity with high ethical and moral standards who is honest, trustworthy, respectful, and responsible, and set a positive example for others to follow
- Continuous learning: Senior-level office administrators must be committed to continuous learning and keeping up-to-date with industry trends and best practices
- Cross-cultural competence: An understanding of cultural differences and the ability to work effectively with diverse teams and stakeholders is also important, particularly for companies operating in a global context
- Strong organizational skills: Be highly organized and able to manage multiple projects and tasks simultaneously
- Being knowledgeable in business functions and regulations, and capable of decision-making and problem-solving related to back-office operations
- Excellent communication skills: Need to communicate clearly and effectively with both internal and external persons. Excellent interpersonal skills and the ability to communicate effectively with a wide range of stakeholders at all levels, including senior management
- Attention to detail: Extremely detail-oriented, with a keen eye for accuracy and consistency
- Strong problem-solving skills: Challenges will arise in any administrative role. This position needs to quickly analyze complex situations, think critically, creatively, and strategically, and make informed decisions, often under tight deadlines and with limited resources
- Proficiency in technology: Must prove their ability to use technology to communicate effectively and professionally, organize information, produce high-quality products, and enhance thinking skills
