We are looking for a motivated and detail-oriented Operations & Customer Service Executive to join our international freight forwarding team. The candidate will handle import/export documentation for air and sea shipments, maintain communication with customers and overseas agents, and ensure smooth cargo operations from booking to delivery.
Key Responsibilities:
1. Documentation (Operations):
• Prepare and check import/export shipping documents
• Ensure all documents are compliant with international trade regulations and customer requirements.
• Coordinate with airlines, shipping lines, co-loaders, and customs brokers to ensure timely handling of shipments.
• Track and update shipment status for both air and sea freight (FCL, LCL, consolidation, direct).
• Handle customs-related documents and work with internal or external customs clearance teams if needed.
• Manage document filing and system input to ensure accuracy and traceability.
2. Customer Service:
• Receive and process booking requests from customers and overseas agents.
• Communicate with clients regarding shipment status, documentation requirements, and delivery timelines.
• Provide excellent after-sales support and handle customer inquiries or complaints professionally.
• Coordinate closely with internal teams (sales, accounting, trucking, warehouse) for shipment arrangement.
• Build and maintain strong relationships with customers and partners.
• Bachelor’s degree in International Business
• 2 years of experience in freight forwarding or logistics, with experience in both air and sea freight import/export documentation.
• Good command of English (especially for email and document handling).
• Chinese (Mandarin) is a strong advantage, especially for dealing with Chinese agents or customers.
• Proficiency in MS Office (Excel, Word, Outlook).
• Knowledge of Incoterms, international shipping processes, and customs procedures.
• Strong attention to detail, ability to multitask and work under pressure.
• Good interpersonal and communication skills.
Preferred Skills:
• Experience using freight forwarding software
• Familiar with Vietnamese and Chinese customs procedures.
• Flexible, customer-oriented mindset with problem-solving skills.
