About This Role
As the Project Administrator, you will report directly to the Senior Project Manager. Your role involves assisting and overseeing a range of company and inter-group projects, including but not limited to:
• Construction Projects
• Communications and Improvement Projects
You will coordinate and support all project planning aspects, from design to construction, encompassing tasks such as scheduling works, procurement, contract administration, financial management, safety protocols, and stakeholder engagement to achieve key project milestones. Effective communication with a pivotal portfolio of clients, developers, and investors is a crucial part of your responsibilities for the business.
Key Responsibilities:
Provide administrative support to Senior Project Managers to
• Support contract related administration work
• Assist project further information requests within the team
• Assist in preparing Colour and Material Schedule and schedule selection withthe client
• Document work manual
• Assist with project feasibility for clients
• Assist with project tender submission
• Assist with building a quotation estimate
• Assist with planning and design fee proposal
• Prepare draft contract pack, including specification and contract template
• Assist with building contract deliverables elements, including timeframe, price, and special conditions
• Assistwith contract signing sessions with clients, go throughthe contract, and compliance check
• Prepare meeting minutes and handover documentation with internal teams
• Prepare weekly contract status to the General Manager
• Other general administration support to project management team as required
Project Coordination
• Assist Senior Project Managers and General Manager to manage key business clients to develop and maintain a long-standing business relationship
• Assist with Senior Project Manager and General Manager on project inquiry and leads, participate project tender process and convert the tender to a contract
• Assist Senior Project Manager to prepare project feasibility to present development options to client
• Assist Senior Project Manager to manage client dispute and complaints to resolve issue timely and professionally.
• Assist with General Manager to develop and retain key business client portfolio
• Obtain client feedback for on-going improvements
• Assist with developing project program, trades breakdown and monthly progress claim
• Assist with project meeting and handover discussion with internal teams
• Attending Client and Supplier meetings with Project Managers, document meeting minutes and follow up on actions required
• Communicate with client effectively and provide solution timely to client for approval
The successful candidate will demonstrate with below skills & experience:
• Excellent English communication skills, both verbal and written
• Proven experience in the Australian residential construction industry, with a background in
Estimating, Project Administration, or Project Management
• Minimum of 3 years of hands-on experience in Residential Construction
• Well-developed administrative skills with a proactive and organised approach
• Strong customer service orientation and a genuine focus on building and maintaining positive
relationships
• Confident and articulate communicator, comfortable liaising with clients, contractors,
consultants, and internal stakeholders
• Solid foundational knowledge of residential construction and property development processes
• Ability to work effectively under pressure and meet tight deadlines in a fast-paced, dynamic
environment
• Excellent problem-solving and conflict-resolution skills, with a calm and solution-focused
mindset
• High attention to detail and a strong willingness to learn and adapt
• Demonstrated ability to prepare and complete construction and tender documentation
(preferred but not essential)
• Proven track record of meeting project milestones and delivery timeframes
• Passionate about professional development and driven to grow a long-term career in Project
