Mô tả công việc:

  • The Senior Office Administrator is responsible for overseeing the daily operations of the office, providing administrative support to senior management, coordinating with various departments, and ensuring a productive and efficient work environment. This role plays a critical part in maintaining operational efficiency, assisting with resource management, and supporting the IT services team by ensuring that office operations align with the company's goals.
  • Supervise and coordinate the day-to-day activities of the office
  • Ensure that office facilities, equipment, and resources are well-maintained and functional.
  • Manage office supplies inventory and place orders for necessary items.
  • Oversee the cleanliness, organization, and general upkeep of the office environment.
  • Provide high-level administrative support to BOD (Leadership team), Clients, departments.
  • Organize company events, team meetings, training sessions, and other employee-related activities.
  • Find and rent accommodation for expats when needed.
  • Handle sensitive company information with discretion and confidentiality.
  • Serve as a point of contact for internal teams and external vendors.
  • Facilitate communication between departments to ensure smooth workflow.
  • Respond to queries and requests from clients, employees, and vendors in a timely and professional manner.
  • Manage communication channels, including emails, phone calls, and other correspondence.
  • Liaise with external vendors (suppliers, contractors, service providers) to ensure timely deliveries and services.
  • Manage relationships with service providers (cleaning, maintenance, office equipment, office service vendors).
  • Ensure office infrastructure comply with company standards and security protocols.
  • Closely working with Building Management to handle any office issues
  • Assist with managing office expenses and budgeting for office-related operations.
  • Track and report on office spending to team lead, identifying cost-saving opportunities.
  • Ensure compliance with the company’s financial and operational policies.
  • Ensure the office complies with relevant safety, health, and environmental regulations.
  • Maintain office files, records, and documentation in accordance with company policies and legal requirements.
  • Assist with audits and inspections as required.

Yêu cầu công việc:

  • Good in English or Chinese
  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum 04 years in office admin, with good knowledge of general administration, principles and office protocol;
  • Proficiency in MS Office (especially MS Excel, MS Word, MS PowerPoint) and computer experience
  • Brilliant organizer with experience(s) in multi-tasking and prioritizing multiple assignments;
  • Able to work in high-pressure;
  • Good negotiation skills;
  • Able to work independently and as part of a team;
  • Excellent communication skills, both written and verbal;
  • Unparalleled flexibility with an open-minded and a complete accessibility;
  • Leadership abilities, with a proactive approach to problem-solving;
  • High level of professionalism and confidentiality;
