Ocean Operation and System

The Ocean Operation and System is responsible for suppliers' payment requests for both Ocean Export HCM and HAN. Tasks include working with the Customer Service and Operations team to collect VAT invoices from carriers/co-loaders to make payment requests, print invoices, and transfer them to the accountant team. After informing the DOCs team, carriers/co-loaders are asked to release Bills of Lading, sea waybills, and telex releases after payment. Besides, this position will support the manager in monitoring the daily app and the new system.

- Work with the IT team to improve our operational quality and operational productivity.

- Work with the IT team to create new operation procedures, such a implementing RPA

- Take a report on the system and monitor invoices from carriers to avoid late payment

- Monitor the deadline and credit terms of carriers to make payment requests on time

- Collect VAT invoice from carriers/ co-loader after Customer Service and Operation check

- Cross-check invoice, combine all information, print, make a payment request on the internal system, and transfer tothe accountant for payment

- Work with carriers/ co-loaders/accountant for documents like adjusted letters, cancelled letters

- Share information with the Documentation team after payment to request OBL, Seaway Bill, and Telex release

- Support the manager to find a solution for the system, RPA (if any)

- Support to take care of some customers as Customer Service & Operation staff (if any)

- Report to direct superiors

- Perform other tasks as assigned by the superiors.

► Education and Experience:

- College or Bachelor's Degree

- At least 02 years of experience related to Operations

- Comprehensive knowledge of ocean freight operations.

- Good at Excel, Word, Power BI, Analysis, and Presentation

► Required Skills and Abilities:

- Proficient in using relevant PC skills and business systems to identify and solve operational problems.

- Upper-intermediate English proficiency.

- Ability to work effectively under pressure.

- Willing to learn and study new things about system, application.

- Leadership skills, including the ability to manage and motivate a team.
