The Executive Secretary will provide high-level administrative and operational support to the CEO, managing schedules, coordinating internal and external communications, and ensuring effective execution of delegated tasks.
Key Responsibilities:
• Manage the CEO’s calendar, business trips, meetings, and prepare necessary documents, reports, and presentations.
• Record and follow up on tasks assigned by the CEO to departments; monitor progress of key projects and company activities.
• Coordinate with departments to implement corporate plans and programs; ensure smooth communication and information flow.
• Act as a liaison in external relations: attend meetings with partners and clients, support contract preparation and signing processes.
• Support administrative and legal tasks at a basic level; manage the CEO’s files and update policies or regulations as required.
• Collaborate with Marketing/HR teams on internal communication, branding, CSR, and company events to strengthen both internal culture and corporate image.
• Participate in VIP customer and partner care, and support special projects as assigned.
• Arrange travel itineraries, including booking flights, accommodations, and transportation. Ensure that all travel arrangements are efficient and aligned with the CEO’s schedule.
• Bachelor’s degree or higher in Business Administration, Communications, Foreign Languages, or related fields.
• Minimum of 2 years’ experience as an Executive Secretary or Assistant to senior leadership in a professional environment
• Fluent in English, both verbal and written.
• Proficient in Microsoft Office, Google Workspace, and modern communication and task management tools.
• Strong planning, organizational, and interpersonal communication skills.
• Preferred experience in Marketing or Corporate Communications.
• Proven ability to work independently and collaboratively across teams; active involvement in community, association, or team-based activities is a plus.
