I. GENERAL INFORMATION
1. Job Title: HR & Admin Officer
2. Report to: HR Manager
3. Working Location: Phu My 3 Specialized Industrial Park, Ba Ria & Vung Tau Province, Vietnam (Shuttle bus will be provided from 3 locations: Ho Chi Minh City, Bien Hoa City, and Vung Tau City)
II. SUMMARY OF THE ROLE
- Maintain the smooth operation of the factory and ensure exceptional administrative services to employees as well as supporting for an effective talent acquisition and talent development.
III. TASKS & RESPONSIBILITIES
Admin tasks (50%):
• Greeting and directing visitors, handling incoming and outgoing correspondence, and promptly responding to phone calls and emails in a respectful manner.
• Scheduling conferences and meetings, and handling complaints with utmost professionalism.
• Maintaining office supplies, including inventory management and working with vendors to ensure adequate levels of necessary supplies at all times.
• Working closely with external providers and partners to ensure the best service to employees, including visa and work permit processing, canteen management, and stationery procurement.
• Managing travel arrangements, including reservations for flights, hotels, rental cars, and other services.
• Processing payment transactions to external providers and ensuring timely and accurate financial records.
• Overseeing food preparation and ensuring compliance with food safety and sanitation regulations.
• Organizing records, invoices, and other important documentation for efficient payment processing.
• Managing and overseeing office equipment and facilities to ensure a flawless working environment.
• Assisting with event planning and organization, as well as translation tasks as needed.
HR tasks (50%):
• Handle recruitment for engineer lelvel and lower level.
• Check & input employee’s personal data.
• Organize & facilitate onboarding plan & other required trainings.
• Completing other tasks as assigned by your direct superior.
Other tasks assigned by Line Manager or Higher Management levels.
IV. ABOUT THE IDEAL CANDIDATE
• Bachelor’s degree in Business Administration or related field.
• 1-3 years experiences in Administration/HR Management.
