JOB OVERVIEW:
The Sales Coordinator is the main point of contact between the company and its customers, ensuring excellent customer service, smooth communication, and efficient support to the Sales Department. This role requires a service-oriented, well-organized, and proactive individual who can handle customer requests, manage sales administration, and coordinate with cross-functional teams to deliver the best customer experience.
RESPONSIBILITIES:
1. Customer Service & Relationship Management
● Act as the first point of contact for customers regarding quotations, samples, purchase orders, and deliveries.
● Provide accurate and timely information to customers, ensuring a high level of satisfaction.
● Handle and resolve customer issues, complaints, or requests in a professional and effective manner.
● Prepare and provide product quality documents, certifications, and any required customer support documentation.
● Build and maintain strong long-term relationships with customers through consistent communication and service excellence.
2. Sales Administration & Coordination
● Organize and maintain sales-related documents (catalogues, product pictures, price lists, samples).
● Support the Sales Director with daily secretarial and administrative tasks.
● Coordinate with other departments (Logistics, Warehouse, Accounting, HR, Marketing) to ensure smooth sales execution.
● Ensure clear communication across departments on customer-related matters.
3. Sales Reporting & Analysis
● Prepare regular and ad-hoc sales reports, including sales staff performance tracking.
● Conduct sales analysis to provide insights into customer demand and sales performance.
● Monitor contract terms and appendices with customers, ensuring updates and adjustments are made on time.
● Set up and maintain customer master data in the company’s information systems (Odoo, MISA).
4. B2B Online Sales Management
● Manage content (product information, images, inventory, pricing) on B2B online platforms.
● Process and fulfill online orders, ensuring timely and accurate delivery.
● Support online customer service inquiries and vendor communications.
● Implement on-site marketing activities and promotions.
● Track B2B sales KPIs and prepare performance reports
Education & Experience:
● Bachelor’s degree in Business Administration, Sales, Marketing, or related fields.
● 1–2 years of experience in customer service, sales coordination, or account management (experience in B2B/e-commerce is a plus).
Skills & Qualities:
● Strong customer service mindset with excellent communication and problem-solving skills.
● Well-organized, detail-oriented, and proactive in handling multiple tasks.
● Proficiency in MS Office (Excel, PowerPoint, Word); experience with ERP systems (Odoo, MISA) is an advantage.
● Analytical and reporting skills.
● Team player with strong coordination abilities.
● Good English proficiency is a plus.
