As the Commercial Trainee, you will be responsible for performing the following tasks to the highest standards: - Carry out any other reasonable duties and responsibilities as assigned. - Make department contracts and promotions, track credit agreements and remind the Sales team to follow-up. - In charge of all purchasing requests, follow-ups and purchasing records. - Answer office telephone calls and make records. - Assist the Director of Sales, Director of Events, Revenue Manager and Marcom Manager to prepare records and reports. - Arrange and remind the Commercial Director on work allocations to team members on duty. - Attend Sales meetings organized by the Commercial Director and complete the meeting minutes in 24 hours. - Deal with Commercial department emails and manage the file system, keeping records. - File all monthly reports including attendance records, cash reports, expense reports, etc. - In charge of managing department HOE, consumables and regular maintenance. - Finish department and hotel reports. - Inform customers promptly about all changes in hotel information. - Answer department calls and messages, making sure to pass information to the related people. - Make sure all department files are well kept and checked regularly. - Issue communications and information regarding sales. - Participate in discussions on sales and activities. - Attend departmental briefings and take meeting minutes. - Ensure that collateral and promotional materials are on hand at all times. - Assist and manage the department’s internal activities. - Deal with guests’ and colleagues’ enquiries. - Update and maintain the guest name list. - Assist Sales Managers to make and send the group resume and BEO, making sure that the related department receives the information. - Make reservation for rooms and events with the reservation system. - Assist Sales Managers to take guests on hotel tours. - Assist Sales Managers with quotations and contracts, sending them to guests and following up promptly. - Be familiar with hotel product knowledge and related activities. - Complete the relevant Hilton University courses promptly and pass the tests. Commercial Cross-Training Rotation: A structured 6-month immersion across MarCom, Sales, and Reservations to build a well-rounded commercial leadership mindset.
