We are looking for a Marketing & Project Assistant to work directly under the Marketing Lead, supporting day-to-day operations across both the agency and an active large-scale digital project. This role is designed to free up the Marketing Lead's bandwidth by handling coordination, documentation, and recurring operational tasks so that strategic priorities stay unblocked.

This is not a campaign execution position. The ideal candidate needs to be well-organized, communicate clearly in English, and be accountable for details to ensure nothing is overlooked.

Responsibilities

Project & Task Coordination

• Track project progress across teams and maintain up-to-date status reports
• Coordinate recurring check-ins and consolidate updates from team members into structured reports for the Marketing Lead
• Assist in organizing and maintaining project documentation, SOPs, and internal knowledge bases

Meeting & Communication Support

• Attend internal meetings, transcribe discussions, and produce clear meeting notes with decisions and action items
• Follow up with team members on outstanding action items and flag delays to the Marketing Lead
• Prepare agendas and supporting materials ahead of key meetings

Operational Support

• Handle tool and resource procurement: research options, prepare summaries, and process purchases once approved
• Configure and manage operational accounts and tools (Gmail, workspace tools, subscriptions, etc.)
• Support the Marketing Lead with ad-hoc research, data gathering, and presentation preparation
• Other tasks as assigned by Marketing Lead

Requirements

Required

• 1-2 years of experience in marketing, project coordination, or a related field
• Solid foundation in marketing: familiar with core concepts across digital marketing, content, and campaign operations
• Professional proficiency in English: able to read, write, and communicate clearly in a work setting
• Strong organizational skills: able to manage multiple tasks simultaneously without losing detail
• Comfortable with productivity and collaboration tools: Google Workspace, Notion, Slack or equivalent

Preferred

• Proficiency in Chinese (Mandarin): able to communicate in written and spoken form is a strong advantage
• Experience supporting a senior manager or working in an agency environment
• Familiarity with AI tools for productivity: summarizing, drafting, researching
