【Job Summary】
Looking for a highly motivated and versatile professional to join our Administration Division. In this role, you will support a wide range of administrative functions, including general affairs, human resources, accounting and tax compliance in a dynamic subsidiary of a Japanese trading group operating in Vietnam. You will be responsible for ensuring that corporate operations run smoothly, policies and procedures are adhered to, and support services are delivered effectively to internal stakeholders. As part of the team, you will collaborate closely with both local Vietnamese and Japanese colleagues and contribute to building a robust administrative framework aligned with Japanese standards and local Vietnamese practice.
【Responsibilities】
-Provide general affairs support: office facilities management, vendor contracts (leases, services), import/export administrative coordination, internal event logistics, and safety/compliance matters.
-Assist the human resources team with recruitment advertising, short-listing, interview coordination, onboarding orientation, probation reviews, and maintaining employee records.
-Support employee relations activities: communication of HR policies, organizing training sessions, preparing internal announcements, handling attendance/time-keeping systems.
-Participate in accounting & finance tasks: bookkeeping for payables/receivables, expense claims validation, assisting month-end closing, preparing and submitting monthly management reports.
-Liaise with tax and audit advisors to ensure timely preparation and submission of corporate income tax, value-added tax (VAT), social insurance and other statutory filings in Vietnam.
-Maintain and update internal policy and procedure documents (e.g., the employee handbook, general affairs manual), ensuring alignment with both Japanese parent-company standards and Vietnamese local requirements.
-Facilitate communication between Japanese head office, local Vietnamese operations and external service providers; translate/document where needed, manage meeting logistics and follow-ups.
-Drive improvements in administrative workflows: suggest and implement process optimisations, digital tools (e-forms, vendor portals), and strengthen internal control frameworks.
-Handle ad-hoc projects as required, such as office relocations, corporate events, audits, internal investigations, or special compliance projects.
