Chi Tiết Công Việc

Mô tả công việc:

  • Manage activities performed in all work units within the office, including facility set-up/ expansion planning and management.
  • Design and Implementation of administrative procedures (reception, access control, shipping, mail in/out, etc.), case management and processing, records management, collection and reporting of statistics.
  • Provide executive assistance support, including scanning, printing, document checking, and meeting room readiness for company leaders (e.g., CEO, Chairman).
  • Coordinate internal audit preparation activities, such as collecting department schedules for ISO and supporting audit-readiness.
  • Support ERP implementation activities by assisting departmental representatives during setup and training phases (in future scope).
  • Occasionally serve as receptionist on important meeting days (e.g., executive visits on Floor 19).
  • Assist in developing and implementing internal office policies. Develop SOPs, forms, workflows, and assignment plans.
  • Advise employees when unusual work situations arise or when new procedures are instituted.
  • Perform personnel administrative tasks, including supervising the training of new employees and the ongoing training of other employees, resolving unusual employee problems, and supervising employee time and attendance records.
  • Regularly meet with subordinate supervisors and other staff to exchange information and discuss issues affecting the office. Calls and conducts formal staff meetings in order to exchange information and discuss ways to make the office function more efficiently. Prepares written agendas, causes minutes to be recorded, prepares written summaries of issues and action plans for review by the Department Head.
  • Prepare manuals and other materials describing procedures and standards and reports as required by the Department Head.
  • Be aware of employee health, safety, and strictly monitor the company’s clinic, medicines.
  • Serve as a point of contact for information concerning the activities of the office, the manager is capable of responding to all inquiries within established guidelines.
  • Responsible for checking fire-fighting equipment and usually managing fire drills for employees.
  • Responsible for the safety, labor protection and hygiene working environment.
  • Work closely and in good rapport with other department heads and persons in charge in matters related to admin and/or office.
  • Perform troubleshooting problems, and attend meetings.
  • Prepare a yearly budget and manage/maintain the budget of the department.
  • Supervise office maintenance including infrastructure, electric equipment, air conditioners, etc.
  • Supervise the management, retrieval, and destruction of court records within established guidelines.
  • Supervise and or perform other projects, duties as required.
  • Build and review facility reports weekly, monthly, quarterly, yearly

Yêu cầu công việc:

  • Bachelor’s degree in business administration or equivalent
  • Have 1-2 years of experience in administration, office management; multi-office management is preferable
  • Strong experience in servicing, especially toward internal customers
  • Strong leadership and management skills
  • Strategic and critical thinking
  • Good negotiation skill
  • Excellent in risk management
  • Well-planning and managing multi-jobs/ projects
  • Good communication skills in both English and Vietnamese
  • Excellent Office and MS Office skills
