Mô tả công việc:

  • Position: SALES OPERATIONS SPECIALIST
  • Reports to: Head of Commercial Department
  • Effective Date: 14/07/2026
  • Approved by: CEO
  • Position Purpose
  • Support business development activities across Vietnam and the Philippines by coordinating proposals, managing RFP/RFI submissions, tracking commercial opportunities, supporting customer operations, and ensuring smooth administrative processes.
  • This position is designed as a career development role for candidates who aspire to become an Account Manager or Commercial Manager within the next 2 - 4 years.
  • Responsibilities
    • Proposal / RFP / RFI Coordination
    • Coordinate the preparation and submission of RFI, RFP, RFQ and proposal documents.
    • Work closely with Project Managers, Delivery Managers, Engineering teams and Board Of Directors to collect technical and commercial information.
    • Prepare proposal documents, presentations, and company credentials.
    • Ensure proposal submissions are accurate and completed on schedule.
    • Maintain the proposal knowledge repository and reusable templates.
    • Bid Management
    • Support the end-to-end bid process.
    • Track bid timelines, customer deadlines, and action items.
    • Organize bid review meetings and coordinate follow-up activities.
    • Maintain bid documentation and submission records.
    • Commercial Tracking
    • Maintain the sales pipeline and opportunity tracker.
    • Track proposal status, contracts, and forecast information.
    • Coordinate contract documentation and quotation preparation.
    • Prepare weekly and monthly sales reports for management.
    • Vendor Onboarding
    • Coordinate supplier registration and onboarding activities.
    • Prepare onboarding documentation requested by customers.
    • Coordinate NDA, compliance and procurement documentation.
    • Follow up until onboarding is completed.
    • Customer Operations
    • Coordinate customer meetings, workshops, and governance sessions.
    • Follow up on action items with customers and internal teams.
    • Maintain customer information and documentation.
    • Support customer operational requests.
    • Administrative Support
    • Prepare meeting minutes and maintain document repositories.
    • Support travel arrangements and customer events.
    • Assist with internal approval processes and document management.

Yêu cầu công việc:

  • Education
  • Bachelor's degree in Business Administration, Marketing, Information Technology or a related field.
  • Experience
  • 2 - 4 years of experience in Sales Support, Commercial Operations, PMO, Bid Coordination, or Account Coordination.
  • Experience in IT services, software outsourcing, technology consulting, or system integration company is preferred.
  • Experience supporting RFP/RFI submissions is an advantage.
  • Skills
  • Good English communication skills (writing, speaking, listening, and speaking).
  • Strong communication and coordination skills.
  • Excellent organization and time management.
  • Attention to detail and the ability to manage multiple deadlines.
  • Positive attitude with a willingness to learn commercial and sales activities.
  • Technical Skills
  • Microsoft Excel, PowerPoint, and Word.
  • SharePoint and Microsoft Teams.
  • Confluence (preferred).
  • CRM systems such as HubSpot or Salesforce (preferred).
  • Power BI (preferred).
