The Sales Support position provides critical administrative and operational assistance to the commercial sales team, focusing on streamlining processes such as paperwork management, information cross check and collecting, CRM data entry, and pipeline reporting to ensure accurate tracking of sales activities. This role also coordinates meetings, prepares recaps, adjusts presentations for special requests, and supports customer interactions including port tours, meal arrangements, and event logistics to enhance client relationships and team efficiency. Overall, the position plays a key role in maintaining organizational flow, enabling the sales team to focus on revenue generation while delivering exceptional support for customer-facing initiatives.
1. Handle paperwork and documentation:
• Process sales-related paperwork, contracts, appendix
• Submit for signature and stamp
• Other administrative documents to comply with company policies and support smooth transactions
2. Collect and cross-check information from other departments
• Gather and verify data from various departments to ensure consistency and accuracy for sales processes
3. Collaborate with commercial team to support customers and business deals
• Work closely with the sales team to address customer needs, provide insights, and facilitate deal closures through coordinated efforts. New handling cost checking with purchasing department with vendors and summarizing for the manager.
• Marketing contents, gifts, webpage, PR event.
• Manage Terminal Service Agreement, Service Contract and renewal
4. CRM data input, and maintain pipeline reports
• Compile, analyze, and distribute sales pipeline reports to track progress, forecasts, and opportunities for the commercial team.
• Enter, update, and verify customer and sales data in the CRM system to ensure accuracy and accessibility for the team.
5. Arrange and coordinate meetings, recaps and follow-ups with commercial team
• Schedule internal and external meetings, book venues, prepare agendas, transportation and manage related requirements to facilitate effective team and client discussions.
• Document key points, action items, and decisions from meetings, distributing summaries and tracking progress on assigned tasks.
6. Adjust presentations for special requests:
• Customize sales presentations, slides, or materials based on client-specific needs or team directives to enhance pitch effectiveness.
7. Support event planning and execution:
• Assist in organizing sales events, trade shows, or webinars, including vendor coordination, materials preparation, and on-site support.
8. Guide port tours for new customers and guests:
• Welcome all guests to the terminal
• Organize and lead tours of port facilities, providing informative overviews to buildrelationships and showcase capabilities.
9. Administrative Tasks of commercial department
• Expense claims and reports
• Ensure compliance with company policies and procedures.
• Maintain a professional and organized work environment.
10. Other assignment:
• Undertake other assignments as requested by Commercial Manager
1. Experience Required
• 1 year experience in global enterprises, international organization with the same industry
• Or fresh graduate with good mark and high evaluation from reliable recommendation
2. Knowledge Required
Language English (proficient in writing and speaking), having another language skills is advantage, etc
Computer Microsoft office (Word, Excel, Power Point, Microsoft Outlook ect ).
