This position is responsible for controlling the capacity and updating information (flight schedule, service parameters, booking confirmation with cut-off time, delay, or routine change, etc.) timely and correctly; conducting daily assigned jobs following SOP and ISO requirements; and making reports as required.
► Capacity controlling in a timely and correct manner.
• Place booking with suppliers as per guidelines from department’s direction and sales quotations.
• Trace cargo with airlines, warehouses to keep customers informed of any changes in schedule/product compared to original one.
• Promptly respond to internal/external parties' inquiries.
• Monitor and maintain a consistently high level of communication with all relevant parties.
► Daily assigned job.
• Follow closely shipments data on Daily plan app and arrange capacity, flight schedule according to each shipment/ customer/ sales’ requirements.
• Input the procurement data on Daily plan app correctly and timely.
• Follow SOPs/instructions of Superiors.
• Involve in daily control of bookings, space for dedicated accounts following Superiors’ instructions.
• Timely input cost in UFS system in proper way and precisely.
• Negotiate with Airlines/Suppliers/Partners for ad hoc rate.
• Take part in training courses as per Superiors’ guidelines.
• Others as assigned by direct Superior.
► Reports
• Make reports of all kinds related to assigned tasks/accounts, and so on (UFS, capacity, flight matrix, irregular reports, etc.) and submit to Superiors timely.
• Provide reports to Sales if requested.
• Monitor of email, reply to messages, and act on information relayed where necessary within 24 hours of the initial inquiry being received.
► Education and Experience
• Bachelor's degree in foreign trade, economics, Business Administration or equivalent.
• Tertiary qualifications with relevant work experience or knowledge of forwarding, logistics industry processes, procedures, and practices, with at least one (1) year of experience in the same industry.
• Experience in flight bookings.
• Knowledge of KWE’s products and services is preferred.
► Required Skills/Abilities:
• Good at MS Office (Word, Excel, Power point….).
• Intermediate English skills (4 skills), additional language should be an advantage.
• Being able to work under high pressure.
• Good Communication, Interpersonal skills & negotiation skills- verbal and written.
• Good Problem analysis and problem-solving.
• Attention to detail and accuracy.
• Data collection and ordering.
• Customer service orientation.
• Adaptability, Initiative.
► Working Conditions and Benefits:
• Working Place: TTC Building, No. 19, Duy Tan Street, Cau Giay Dist, Hanoi City
• Working time: Monday to Friday, from 8:00 AM to 5:35 PM
• Annual Leave: 12 days/year (after probation time)
• Net salary: Negotiable (13 months a year plus Tet bonus & Annual performance bonus)
• Annual Salary Increase: once per year
• Performance Assessment: twice per year (fixed in April and October)
• Insurance: 24 hours’ Accident Insurance, 100% Social Insurance, Health Care Insurance
• Work From Home Policy: Eligible to work from home 2 days per week after 6 months of working at the company
