OPERATIONS ASSISTANT (Inbound Travel – Vietnam)

1. Job Summary

We are an inbound travel company handling Indian & international tourists visiting Vietnam.
We’re looking for a proactive, organized Operations Assistant to support daily operations, coordinate with hotels/drivers/guides, and assist clients during their stay.

2. Key Responsibilities (Short & Clear)

Hotel Coordination

• Work with hotels: rooming lists, confirmations, early/late check-in, special requests.
• Ensure hotel vouchers are accurate & sent on time.

Client Handling

• Main contact for clients during tours.
• Manage arrivals, departures, daily follow-up.
• Handle calls/messages: pickup time, schedule updates, issues, emergencies.
• Report updates to Lily & Thailand head office.

Driver & Guide Coordination

• Assign drivers/guides based on daily plan.
• Confirm pickup details & ensure itineraries are followed.

Supplier Management

• Work with hotels, transport, tour operators.
• Handle last-minute changes & maintain supplier contacts/rates.

Operational Admin

• Prepare daily operation sheets & WhatsApp updates.
• Check booking files, manage vouchers/tickets.
• Support basic accounting: collect invoices, expense summaries.

Tour Operator Certificate

Strong communication (Vietnamese + basic English).
Calm problem-solving in real time.
Good coordination & negotiation skills.
High responsibility & willingness to work flexible hours (tourism nature).

Bonus Prefered:

Experience in hotels/travel/DMC.
Knowledge of tourist spots (HCMC, Danang, Hanoi…)
Comfortable communicating with Indian tourists (training provided).
Good WhatsApp communication.
