    1. Administrative support including but not limited to:
    1.1. Calendar management in a sophisticated manner, knowing what and when to prioritize, while troubleshooting conflicts with little guidance; when necessary, use judgments and make recommendations to ensure smooth and effective use of time
    1.2. To-do list management
    1.3. Rolodex management
    1.4. Complex logistical support and be on standby during travel times to quickly address any last minute changes or cancellations
    1.5. Meeting preparation
    1.5.1. Draft agenda and desired outcomes
    1.5.2. Brief participants ahead
    1.5.3. Prepare materials and facilities ahead
    2. Documenting support including but not limited to:
    2.1. Error-free, concise and eloquent note taking
    2.2. Error-free, prompt and tidy document drafting and word processing
    2.3. Document control (physical and digital)
    2.4. Proof read documents to ensure accuracy, completeness and adherence to company formats
    3. Communication support
    3.1. Receive incoming calls and correspondence, handle them with sensitivity and sound judgment, all the while maintaining grace, sophistication and professionalism
    4. Follow up and coordination support
    4.1. Follow up with other executives and support staff on outstanding tasks to ensure a high performance and execution-oriented work environment
    4.2. Assist with onboarding of new direct reports of the CEO and track progress throughout induction period
    5. Serve as gatekeeper of CEO’s office vis a vis people and documents
    5.1. Review, determine priority and route incoming requests and correspondence
    5.2. Screen materials and reports to ensure compliance, accuracy and completeness prior to arranging for signature
    5.3. Refer matters to appropriate departments and/or executives for action or solution
    6.Perform other duties as assigned from time to time

    Yêu cầu công việc

    • Bachelor’s degree in business, economics, finance/accounting OR communications, public relations, English, international studies
    • Minimum 3 years working experience in English-speaking environment in administrative, secretarial or client service capacity
    • Willing to work outside of ordinary business hours
    • Commit to be reachable at all times
    • Willing to travel
    • Language skills:  Fluent in written and spoken English
    • Writing skills: Business correspondence writing
    • Note taking skills:  Demonstrated experience recording accurate minutes of meetings and overall pen to paper habits
    • Computer skills: Proficiency in Word, Excel, PowerPoint and Outlook
    • Organizational skills: Excellent organizational skills and multi-tasking abilities
    • Ability to take initiative to manage work flow and priorities
    • Ability to work to deadlines and under pressure
    • Communications skills: Excellent grammar and writing skills as well as oral communication skills
    • Interpersonal skills: Excellent interpersonal skills with the ability to work effectively with colleagues from all levels
    • Sound judgment
    • Ability to maintain confidentiality and to use high degree of discretion
    • Committed, dedicated, loyal and honest
