    Mô tả công việc

    1. Project Admin

    • Provide full secretarial and admin support to the project team and department to ensure the smooth running of the department operations / installation of each project.

    • Take minutes of meeting and maintain records for the operations and project team. 

    • Develop and maintain document control processes for the efficient management.

    • Maintain a proper and user friendly filing and document control system for recording and tracking of all documents for the project team and department

    • Support the officers and project team in daily admin roles and assist to keep stock of material supplies for the department

    • Undertake any ad-hoc admin projects/duties as required

    • Follow up & collect questions, complaints, feedback from Clients and give solutions to solve

    • Assist to collect and check staff claims and invoices for project team

    • Assist to prepare, submit and follow-up the VO (if any)

    • Assist to monitor payment schedule and status, cooperate with division admin & accountant team.

    • Double check all expenses raised, whether in budget (prelim costing) or not, for PAM to approve, make sure following project schedule in time.

    • For some specific big projects: follow up all documents requested, double check on claims from local suppliers, follow up payment from customers, provide support if needed / required. (ex: First Solar).

    • Follow up project logs updated by each division, to proactively prepare: resource, equipment, time management for project team.

    2. Sales Admin

    • Receive inquiry from Sales Team & clients; check & prepare DO.

    • Coordinate with Accounting Dept. & Warehouse keepers.

    • Follow-up and inform clients & collect docs for filing after success.

    • Monthly report to PM / DM for stock sales, inventory, ongoing Contracts status.

    • Manage Pricing System offered by SM / PM.

    • Offer stock price to clients for small inquiries.

    • Consolidate Prices offered by Sales Team to clients.

    • Prepare PO/DO; Proposal; tender documents.

    • Receive information from Sales Team to place order to Suppliers.

    • Get info from sales team / PM & Prepare draft Contract to send to Clients – Follow up for signature.  

    • Place order to suppliers

    • Follow up shipments and delivery

    • Submit documents to complete receivable collection

    Yêu cầu công việc

    - Detail-oriented, careful, fast learner, flexible

    - Good follow up, work under preasure & problem solving skill
